Policy on Participation in Intercollegiate Competitions

1. Objective

  1. To encourage active student participation in intercollegiate competitions.
  2. To establish a transparent selection process for participants.
  3. To ensure responsible and professional representation of the college.
  4. To regulate participation through defined guidelines and procedures.
  5. To facilitate smooth and fair reimbursement processes.

2. Scope

This policy applies to all students of KES Shri Jayantilal H. Patel Law College who participate in any intercollegiate events, including but not limited to moot court competitions, debates, cultural festivals, legal quizzes, research paper presentations, and similar academic or extracurricular activities.

3. Application Process

To ensure timely processing, all students must follow the below procedure:

4. Approval Process

  • The Intercollegiate Committee (ICC) will review applications within three working days.
  • Screening for participation will be conducted strictly on Tuesdays and Thursdays between 11:30 a.m. and 12:30 p.m., and applications will be accepted based on the outcome of this screening.

5. Representation Guidelines

  • Students must uphold discipline and embody the values and ethics of the institution.

  • College ID cards must be carried at all times during intercollegiate events.

  • A formal dress code must be followed, unless the host institution specifies otherwise.

  • Participants must refrain from any actions that could bring disrepute to the college.

  • It is mandatory for students participating in intercollegiate competitions to invite and ensure reciprocal participation from the host institution in our college’s intercollegiate events.

6. Reimbursement Policy

6.1 Eligibility

  • Reimbursement will be provided only upon prior approval by the Principal
  • Eligible expenses include:

Note – Reimbursement is subject to the submission of the winning trophy (if awarded) along with all relevant documents and duly filled forms to the Intercollegiate Committee by the student(s) securing the win.

7. Code of Conduct

  • Zero tolerance for any form of misconduct, use of intoxicants, or violation of event-specific guidelines.

  • Students must attend regular lectures both before and after the event in accordance with the college’s attendance policy to maintain academic performance.

  • Any instance of misbehavior will invite disciplinary action and may impact eligibility for future participation in intercollegiate events.

  • In case of any conflict or dispute, the decision of the Intercollegiate Committee (ICC) shall be final and binding.

8. Dispute Resolution Mechanism

  • Any grievances or disputes related to selection, approval, or reimbursement must be submitted in writing to:

  • The Intercollegiate Committee will address and resolve such disputes within 15 working days, and its decision shall be considered final.

  • If the student is not satisfied with the Committee’s decision, the matter may be escalated to the Principal, whose decision will be final and binding.

9. Amendments

The college reserves the right to amend this policy as deemed necessary in line with academic calendars, funding availability, or institutional strategy.
